Club treasurer handover checklist
A practical checklist for handing a club's accounts, members, funds and open work to the next authorised treasurer.
A good handover explains the system as well as transferring the files. Work through these items with the incoming treasurer and record anything that remains unresolved.
Checklist
Confirm access
List the authorised users, bank access arrangements and external accountant or reviewer. Remove access that is no longer needed.
Explain the accounts
Identify the main bank, receivable, subscription-income and expense accounts in language the incoming treasurer recognises.
Review funds and grants
Explain which balances are restricted, the purpose of each fund and any grant conditions or spend-by dates.
Reconcile members and payments
Review active tiers, open subscription charges, recent payments and the fair process used for arrears.
List missing evidence
Do not hide gaps. Record the receipts, invoices, statements or decisions that still need an authorised response.
Export the handover pack
Keep the current reports, schedules and supporting evidence together with a dated note of the handover.
The outgoing treasurer should not need to make every record perfect. The goal is to make the remaining work visible and responsibly owned.
